Talentlab reduced its quoting time from several days to 30 minutes

Back

Industry: HR Consulting · Stack: Bubble + Make · First phase: 6 months · Operational since 2019

Key Metrics

  • Quote turnaround time: Several days → 30 minutes
  • Founder review: Every proposal → Only in exceptional cases
  • Countries of operation: Mexico → Mexico, Colombia, Peru, and the United States
  • Team size: Initial base → 5x larger

The challenge

Talentlab designs custom assessment and development programs. Since every project varies by city, format, and scope, preparing a proposal required reviewing many variables: travel expenses, design and execution hours, instrument adaptation, and target margins.

This knowledge was concentrated in the founder. As a result, all quotes had to be reviewed by her before being sent. The process took several days and limited the sales team's ability to respond quickly.

The solution

ARCUS developed a custom ERP in Bubble, with automations in Make, to manage the consultancy's entire cycle.

The system incorporated Talentlab's costing rules: travel expense differences by city and country, design and execution hours, and variations between creating a solution from scratch or adapting an existing one. Now, the sales team can prepare a well-calculated proposal in approximately 30 minutes.

A project profitability view was also created. Previously, margins were estimated on a case-by-case basis; now, they can be clearly reviewed before closing each proposal.

The main challenge

The greatest difficulty was not technological, but rather converting years of experience into concrete rules. The costing model was not documented, so we worked alongside Talentlab to identify every variable and define how it should be calculated.

This process allowed for the transfer of knowledge from a single person to a tool that the entire team can use today.

The result

Talentlab currently operates in four countries and has a team five times larger than when the project began. The platform has been running since 2019 and has evolved alongside the company.

Since then, Talentlab has also become an ARCUS partner on projects that combine technological development with upskilling and reskilling programs.
